Coordinating Millwork, Cabinetry, and Stone Before Shop Drawings

A practical coordination checklist for cabinetry and stone countertops, covering product selections, drawing responsibilities, field measurements, and approvals.

A reception desk, break-room counter, or hotel vanity brings several decisions together in one small area. Cabinet layouts, countertop selections, fixtures, and adjacent finishes need to describe the same finished assembly.

The Architectural Woodwork Institute identifies shop drawings and sample submittals as tools for communicating design intent between the manufacturer, general contractor, and design professional. That makes preparation for the first drawing review a useful coordination opportunity. AWI 100: Purpose and Scope

The following is a suggested planning method for project managers and designers preparing a combined millwork and countertop package.

Start with a shared reference set

Before requesting shop drawings, gather the current architectural plans, relevant elevations, finish schedule, and equipment information in one place. Give the package a date and identify who will answer questions about it.

Our recommendation is to add a short decision register. For each open item, record the question, the person responsible, and when the answer is needed. Use clear labels such as “selected,” “awaiting sample review,” and “requires field confirmation.”

For example, “white countertop” is a starting preference. A useful decision record identifies the selected product and finish, or explicitly says those choices remain open. This lets the drawing team distinguish confirmed information from assumptions.

Assign ownership where the materials meet

AWI’s submittal guidance addresses cabinet and countertop relationships, sink information, edges, splashes, and provisions for field dimensions. Use those topics as prompts for the project discussion. AWI 100: Manufacturer / Supplier Responsibility

The table below is a suggested meeting agenda. Assign responsibility according to the actual project scope.

Coordination topicQuestion to resolveRecord to keep
Cabinet and countertop interfaceWho brings the two drawing packages together for review?Named coordinator and drawing references
Sinks and equipmentWho confirms selections and supplies product information?Selection register and product documents
Edges and splashesWho confirms the appearance at adjoining finishes?Marked elevation or detail
Field measurementsWho schedules the visit and confirms readiness?Agreed readiness checklist
Review commentsWho consolidates comments and closes open decisions?Dated response log

For repeated rooms or stations, identify which decisions apply everywhere and which vary by location. A single exception should have a room number or drawing reference attached to it.

Resolve product information early

Cambria’s installation checklist calls for plumbing fixtures to be available at the measurement appointment and requests model numbers for appliances that cannot be there. This illustrates why a project package needs actual product information, not just a general equipment label. Cambria Installation Checklist

Ask the team to maintain one schedule for sinks, faucets, and equipment associated with the cabinetry. Add a column identifying who supplies each item and another showing whether its documentation has reached the drawing team.

If a selection changes, mark the previous item as superseded. For instance, changing the specified sink should prompt a joint cabinet and countertop review before the team treats the new selection as resolved.

Discuss appearance as an assembly

Caesarstone advises discussing backsplash and countertop edge selections with the project manager or fabricator before the measurement visit. Caesarstone’s templating guidance

For a commercial interior, make that discussion location-specific. Review the reception desk from the visitor’s approach, the vanity against its wall finish, or the service counter beside its equipment.

We suggest requesting a marked drawing that records the intended edge treatment, splash termination, and any important visual alignment. Ask the fabricator to identify proposed seams for review. Treat that as a design discussion to resolve with the selected material and project conditions.

Keep the written decisions alongside the drawings so the next reviewer can understand the intended result without reconstructing an email conversation.

Plan the field-measurement handoff

Cambria’s checklist asks for the supporting cabinets or structures to be installed before its measurement appointment and for a project decision-maker to attend. Confirm the requirements with the fabricator responsible for your selected surface. Cambria Installation Checklist

Set a readiness check before the visit. Record which areas are available, who provides access, and which decisions the attending representative can make. If the project has several phases, name the rooms included in each visit.

Keep design-review approval and field-measurement readiness as separate entries in the project log. A useful handoff states what has been approved, what still needs confirmation, and who receives the resulting information.

Close changes explicitly

AWI’s submittal guidance says that incorporating a material or design substitution into drawings does not itself constitute a request for approval; the proposed change must be identified and submitted for approval. AWI 100: Manufacturer / Supplier Responsibility

Apply that principle to the coordination log. Name the changed item, identify the affected locations, and request a response from the responsible reviewer. Avoid closing a question merely because a revised drawing was distributed.

Before the next handoff, check that the current drawing references, product selections, unresolved questions, and responsible contacts are easy to find. A short, complete record is more useful than a long chain of disconnected comments.
